Planning a private transfer in Mallorca is easier when you settle the practical details before you fly. Here are five common booking mistakes and the simple fix for each. A private transfer is organised around your party and destination, so enter complete details and check what has been confirmed. Use this advice to plan your airport transfer with confidence.

Mistake 1: booking too late

Leaving the reservation until near departure is easy to avoid: book at least 48 hours before your first transfer and enter your details while your plans are clear. That gives you time to add the destination address, passenger count, flight details and luggage, then review everything before you confirm. Request child seats when booking; their availability cannot be guaranteed for last-minute bookings or if they were not requested in advance.

Booking online takes about 2 minutes. The fixed price is for the whole vehicle and is shown and confirmed when you book, before you fly. Once your booking is confirmed, later changes to our rates do not alter that price. Booking early gives you time to organise the practical details and check your confirmation, rather than trying to sort them out on arrival. Mistake 2: choosing the wrong vehicle size

An adult-only headcount can lead to the wrong vehicle size, so include every adult, child and baby, their seats and bags in the booking. Children and babies count as passengers and each occupies a seat; bookings can cover up to 12 passengers. Tell us when booking if you need several child seats so we can allocate the right size.

The included allowance per passenger is one standard checked suitcase up to 23 kg, one cabin bag and one smaller personal item, such as a handbag or small backpack. Strollers and prams travel free. Declare extra suitcases, suitcases over 23 kg, golf bags and bike boxes when booking. To add luggage later, contact us at least 24 hours before pickup so we can check capacity.

Baby seats, child seats and booster seats are free; request them when booking, giving the number and type plus each child’s approximate age and weight. Under Spanish law, children under 135 cm must travel in an approved child restraint. You may bring your own seat; the accompanying adult is responsible for fitting and using it correctly.

Mistake 3: leaving out or entering incorrect flight details

Incomplete flight details or a guessed pickup time can complicate the handover, so enter your correct flight information and set pickup as minutes after landing. Use the booking form’s flight-number search and provide complete, correct flight, address and contact details. We track flights arriving in Palma; if yours lands late, your driver waits.

One hour of waiting is included from the actual landing time; any flight delay is added to that hour, up to a maximum of two hours after landing. Tell us about significant changes or a change of flight number. Set your pickup in 5-minute steps; the form offers guidance for hand luggage, time to collect checked bags, or extra time to collect bags and reach the meeting point.

When the booking is complete, check the confirmation email, including your spam or junk folder. Read it carefully and contact the team straight away if any detail is wrong. This confirms your flight, pickup timing and contact information before travel.

Mistake 4: not knowing where to meet your driver

Leaving the meeting point unclear is avoidable: note the exact arrivals location and look for your driver holding a sign with your booking name. At Palma Airport (PMI), meet in the arrivals hall, between columns 3 and 4, in front of the Paul Express coffee shop. Your driver waits there with a sign showing the name on your booking.

The journey from the baggage belt to the car takes an average of 7 minutes. If you have agreed a different pickup point, use it only after the team confirms the change in writing by email, SMS or WhatsApp. From arrivals, your transfer goes to your hotel, apartment or villa address; for hotel pickups, the driver meets you at the main entrance or reception.

Mistake 5: underestimating the minibus for groups of 9 to 12

Underestimating the minibus means missing a simple option for a group of 9 to 12; book one so everyone travels together. Bookings for 9 to 12 passengers are assigned a minibus: one booking, one meeting point, one driver holding a sign with your name and one journey from arrivals to your address. That means your group can stay together from the airport through to your hotel, apartment or villa.

The fixed fare is per vehicle, so the per-person fare falls as the group grows. For a daytime, one-way transfer from Palma Airport to Alcúdia, the whole-vehicle fare for a group of 12 is €182, which works out at €15.17 per person. Each passenger still has the usual luggage allowance, so declare extra suitcases, golf bags or bike boxes when booking. Count every child and baby in the group total, and request any free child seats when you book.
