Why our driver asks for your ID or passport

The legal basis

The route sheet and its contents are set out in Spanish national transport law:

   Land Transport Act — control documents that carriers must keep for inspection.

   Land Transport Regulation — the route sheet as a control document for passenger services.

   Route sheet contents: name and ID/tax number of the carrier, of the person or company who booked the service, and of the driver; origin, destination and date; vehicle registration. Sheets must be kept for one year and made available to the Transport Inspectorate.

Any official identity document works: passport, national ID card or, for EU/EEA citizens, a residence or citizen card. Only the booking holder needs to show it — not every passenger. The driver takes a quick photo of it with our route-sheet app and hands it straight back.

• A photo, but only two fields kept

  The photo is used solely to read your name and document number automatically. We do not keep the photo — only those two fields go on the route sheet.

• Electronic route sheet

  The driver uses our route-sheet app (Vectum), which generates the electronic route sheet permitted by law. Data travels encrypted and is stored on servers in the EU (Google Cloud, Frankfurt).

• Kept for the legal period, then deleted

  We keep route sheets for the legally required retention period (5 years) and then delete them.

• Who can see it

  Only 89 Transfers and, on request, the Spanish Transport Inspectorate. We never share it with other companies or use it for marketing.

• Legal basis under GDPR

  Compliance with a legal obligation (Art. 6.1(c) GDPR). Because it is a legal requirement, we cannot provide the service without it.
